Tenders are invited for Conference Package for 2026/2027 WORKING / SERVICE HOURS The Contractor shall be available to provide conference, accommodation, catering, and related hospitality services according to the schedule communicated by HC. Services may be required outside normal working hours, including evenings, weekends, Fridays, public holidays, and religious holidays such as Eid, depending on the requirements of HC activities. The Contractor shall ensure that adequate staff are available throughout the agreed service period to support participants, HC staff, and guests. DESCRIPTION OF CONFERENCE AND HOTEL SERVICES The services may include, but shall not be limited to: Provision of hotel accommodation for HC staff, assigned non-staff, participants, facilitators, and guests as requested by HC. Provision of conference halls and meeting rooms suitable for workshops, trainings, meetings, conferences, and other official activities. Provision of meals, including breakfast, lunch, dinner, and refreshments for participants. Provision of drinking water for participants and guests. Provision of conference equipment, including projector, screen, sound system, microphones, tables, chairs, flipcharts, whiteboards, and other equipment as required. Provision of reliable electricity and backup power arrangements where necessary. Provision of internet/Wi-Fi services where required. Provision of adequate and clean sanitation and washroom facilities. Provision of cleaning and housekeeping services throughout the period of accommodation and conference activities. Provision of adequate security and safety arrangements within the hotel and conference premises. The Contractor shall remain responsible for maintaining the agreed facilities and services throughout the duration of each assignment. HC may request additional accommodation, meals, conference facilities, or related services on an ad hoc basis. The Contractor shall provide the proposed hotel/conference facility for inspection as part of the Technical Evaluation, where requested by HC. TOR FOR CONFERENCE PACKAGE IN SOMALIA (ABUDWAK DISTRICT) HC is seeking offers from reputable, well-established, and experienced Hotels and Conference Service Providers duly incorporated under the Laws of Somalia to provide Conference Package and Hotel Services for HC staff members, assigned non-staff, participants, and guests; at a fixed price for a period of one year, renewable on a yearly basis based on good performance. The Contractor shall provide Conference Package and Hotel Services for HC staff members, assigned non-staff, participants, and guests who require accommodation, meeting facilities, conference halls, meals, refreshments, and other related hospitality services in areas where HC implements its activities, in Abudwak. Such services shall be provided based on the agreed discounted prices, service specifications, and terms and conditions of the eventual Agreement/Contract. To support this, HC is seeking the services of a company or companies that can provide Conference Package and Hotel Services, including accommodation, conference/meeting halls, tea and coffee breaks, meals, refreshments, equipment, and other related hospitality services as per the scope of services. Experience: The contracted company shall have at least 2 years of prior successful experience in providing conference package and hotel services, including accommodation, conference/meeting facilities, catering, meals, refreshments, and related hospitality services. The contracted company shall have adequate and suitable hotel and conference facilities, equipment, and resources to deliver the required services and shall not subcontract or outsource the core conference and hotel services to third parties without prior approval from HC. Requirements HC invites your firm to participate in this competitive solicitation for the provision of Conference Package and Hotel Services, including accommodation, conference/meeting facilities, meals, tea/coffee breaks, refreshments, conference equipment, and other related hospitality services as required by HC. The conference package and hotel services will be requested by HC on an as and when required basis, depending on the needs and requirements of its activities. The selected service provider shall have the capacity to provide the required services in a timely, professional, and reliable manner. Service Availability 1. The Contractor shall be available to provide conference package and hotel services as and when requested by HC, including during weekends and public holidays where required. 2. The Contractor shall have sufficient capacity to accommodate additional requirements upon request by HC, including increased numbers of participants, additional rooms, meals, refreshments, and conference facilities. 3. The Contractor shall be available to provide the required services on all days, irrespective of local or national holidays, when requested by HC. 4. The Contractor shall have adequate and suitable conference halls/meeting rooms capable of accommodating the number of participants specified by HC. 5. The Contractor shall provide replacement or alternative facilities/services in the event that the agreed conference hall, accommodation, catering services, or equipment becomes unavailable or unsuitable. 6. The Contractor shall be responsible for obtaining and maintaining all relevant licenses, permits, registrations, insurance, and other approvals required by applicable Somali laws and regulations to provide hotel and conference services.
