Request for proposals for Office Interior Design, Workspace Setup and Fit-Out Services Closing Date: Tuesday, 14. Jul 2026 Intervention Sector(s): Rehabilitation About Medical Aid for Palestinians (MAP): Medical Aid for Palestinians (MAP) works for the health and dignity of Palestinians living under occupation and as refugees. MAP is the leading UK charity delivering health and medical care to those worst affected by conflict, occupation and displacement, in the occupied Palestinian territory and Palestinian refugee camps of Lebanon. Invitation to submit a proposal: Dear Sir/Madam, Medical Aid for Palestinians (MAP) is relocating to a new office in Tabaris, Beirut, Lebanon. MAP is seeking a qualified Bidder/interior design firms to provide office interior design, furnishing/furnishing advise, and fit-out services. The office is currently fully fitted but unfurnished. The selected Bidder will be responsible for site assessment, design development, BOQ preparation, and full execution of approved works. Mandatory Site Visit Interested bidders must conduct a site visit before submitting their proposal. The Bidder shall: Visit the office and take all necessary measurements. Prepare the floor plan and layout drawings. Assess the existing condition of the office. Verify quantities and dimensions. Assess electrical, sanitary, safety, and infrastructure systems. MAP will not be responsible for any costs incurred by bidders for site visits, measurements, proposal preparation, or any other pre-contract activities. 2. Scope of Work All materials must be high quality and cost-efficient. A. Office Layout and Furniture Three Rooms: Desks and chairs. Specify specs and dimensions and layout (3 rooms, 3-5 staff each) Power outlets and data access. Cable management solutions. Lockable filing cabinets and storage units. Specify specs and dimensions Remove existing cabinets in one room and install new lockable filing cabinets and storage units One Room: One desk. Specify specs and dimensions Visitor seating. Specify specs Meeting table. Specify specs and dimensions Lockable cabinets. Specify specs and dimensions Soundproofing solution (Specify specs) and Close gaps between walls and ceilings near the main meeting room. Small Meeting Room (Entrance Area Conversion) Convert the current entrance area into a meeting room. Soundproofing. Specify specs Meeting table and chairs. Specify specs and dimensions Electrical and data connections Wall-mounted TV for online meetings Main Meeting Room (10-15 persons) Convert the big room into a meeting area for approximately 15 people. Requirements include: Meeting table and chairs. Specify specs and dimensions Ceiling-mounted projector. Specify specs and brand Projection screen. Specify specs and brand Dedicated TV wall space (65) Electrical and data connections for power outlets, and video conferring system, and TV. (Video conferencing equipment is already available). N.B: For this room you can suggest options for separations or any idea that can fit our needs. Use free space to create multiple one-person online meeting rooms. B. Doors The Bidder shall assess all internal office doors and the main entrance door and provide two separate options: Repair and repaint existing doors. Specify specs, quality and brand Replace existing doors with new doors. Specify specs, dimensions, and materials. Separate pricing shall be provided for each option. C. Flooring Assess the existing parquet/barki flooring only and propose suitable replacement options. The proposal shall include: Remove flooring where required. Supply and install new commercial-grade office flooring. Bidder to propose materials, brands, quality, and finishes. The flooring of one part of the office (vintage tiles) should not be altered D. Painting Paint and/or propose designs as needed for walls, ceilings, and applicable doors Bidder to propose colors, paint type, finishes, and paint brands. High-quality and cost-effective materials required. E. Curtains Supply and install suitable curtains throughout the office. Specify specs, dimensions, materials, and color. F. Electrical and Lighting The Bidder shall assess: Existing electrical cabling. Distribution boards and circuit breakers. Existing lighting and power outlets. The proposal shall include: New LED office energy-efficient lighting Additional power outlets where required . Desk-mounted, floor power points, and wall power points based on the proposed layout (Desks, and meeting rooms). Any recommended electrical upgrades. All materials must be high quality and cost-efficient. G. IT and Communications Infrastructure In the layout and drawing, Bidder shall design infrastructure for: Telephone system. Network cabling. Wi-Fi access points. Internet equipment. Dedicated space shall be allocated for: Network rack/cabinet. Switches. UPS system. Telephone central system. Lithium battery and inverter. H. Bathroom and Sanitary Works Current layout: shared entrance with separate male and female toilets. Required: Separate entrance for each toilet. Dedicated sink/washbasin per toilet. Bidder shall also inspect plumbing and recommend improvements. All materials must be high quality and cost-effective. I. Fire Safety and Security Assessment and recommendations for: Smoke detectors. Fire alarms. Emergency lighting. Any recommended improvements should be included in the proposal. J. Metal Grilles The Bidder shall assess all external doors and windows overlooking open or accessible exterior areas and propose suitable metal security grilles/guards where deemed necessary and acceptable to the building owner. It can be from outside or inside the office based on owner approval for the changes. The proposal shall specify materials, dimensions, finishes, installation details, and locations, with separate pricing provided. K. Air Conditioning and Ventilation Provide recommendations for any necessary improvements or additions to a separate split unit inverter AC for specific areas as the current AC is central. L. Branding MAP LOGO branding to be installed at: Main entrance. Reception. Meeting room. MAP logo files and shapes will be provided upon request. M. false ceiling Assess where the ceiling can be removed of if it needs maintenance 3. Deliverables The proposal should include: Floor plan and layout for office and Furniture with dimensions. Detailed Bill of Quantities (BOQ) for the proposed materials and furniture showing categories as per point 4, breakdown under each category with descriptions, specs (Colors, type, grades, quality, brands, dimensions), and quantities. Work schedule and milestones. Furniture catalogues with pricing. 4. Pricing Requirements Bidders must provide a detailed cost breakdown for each work category, including: Design services. Furniture. Flooring. Painting. Doors. Electrical works. Lighting. Air-conditioning improvements (if applicable). Bathroom works and sanitary. Branding. Fire safety improvements. Metal Grilles Curtains. Any other recommended works. MAP reserves the right to select all or part of the proposed works depending on budget availability and priorities. Bidders are encouraged to provide alternative options, where applicable, with separate pricing. 5. Project Timeline Start Date: 20 July 2026 Completion Date: 30 September 2026 Bidders shall provide a detailed implementation schedule showing key milestones and completion dates. 6. Proposal Submission Requirements a.Technical Proposal Company profile Legal Documents Commercial Registration, VAT Certificate, MOF Registration, and Owners IDs (for shareholders owning 25% or more) Supplier Information (Annex A) signed and stamped. Relevant experience and references. Floor Plan and layout drawings for office and furniture with dimensions. Unpriced Detailed Bill of Quantities (BOQ) for the proposed materials and furniture showing categories as per point 4, breakdown under each category with descriptions, specs (Colors, type, grades, quality, brands, dimensions), and quantities. Implementation schedule showing key milestones, delivery time, and completion dates. Warranty confirmation letter covering the workmanship, materials, furniture, and equipment installed specifying the period covered. Sign and stamp all pages of this RFP. b. Financial Proposal Priced Detailed Bill of Quantities (BOQ) for the proposed materials and furniture showing categories as per point 4, breakdown under each category with descriptions, specs (Colors, type, grades, quality, brands, dimensions), quantities, and prices. Furniture catalogues with pricing. 7. Additional Requirements Design must prioritize functionality, durability, and efficient space use. The Bidder shall provide a warranty covering workmanship, materials, furniture, and installed equipment. Any defects identified during the warranty period shall be corrected by the Bidder at no additional cost to MAP. The Bidder shall be responsible for removing construction debris and waste and handover the office in a clean and operational condition. The Bidder shall comply with all applicable health and safety requirements during implementation. Upon completion of the project, the Bidder shall provide warranty certificates, product manuals, and maintenance recommendations where applicable. Bidders shall indicate any assumptions regarding building access, working hours, or implementation constraints. The Office is on the second floor of the building. Elevator is not allowed to be used for workers or building materials. The office is leased, so structural changes, e.g. to concrete walls, should not be considered.
