Word-Processing Services-Performing Minutes Services. The Aim Of This European Tender Is To Conclude A Framework Agreement Between Rivm And One Contractor For The Implementation Of Minutes Services. The Assignment Concerns The Following Activities: The Written Recording Of Various Meetings, Including Digital/Hybrid Meetings. Taking Care Of Reporting/Minutes From Teams Or Webex Recording (Or Any Other Form Of Audio Recording) Of The Meeting. This Can Be A Choice Of The Client Or Prevent, For Example, If The Secretary Cannot Be Present At The Meeting. Correcting And Defining The Prepared Minutes. Scheduling Notulists On Request Or According To The Supplied Planning (Meetings). Rivm Attaches Great Importance To The Transparent Recording Of Decisions, Discussions And Various Opinions That Underlie Decision -Making In The Meetings. To Guarantee Independence And To Create Support From Various Stakeholders/ Participants, The Implementation Of Minutes Are Outsourced. This Concerns Reporting Of Meetings Of Different Working Groups, Committees And Meetings, Congresses Or Presentations. Taking Minutes Of Different Meetings Within All Domains Of The Rivm, Whereby, Among Other Things, Policy Is Determined And Decision -Making Takes Place. The Subjects Are Very Diverse. This Often Concerns Medical, Technical And Professional Discussions. The Contractor Must Control Various Elaboration Forms And Can Be Used Throughout The Netherlands. In Addition, It Must Be Possible To Work Digitally And Hybrid. This Means That (Partly) Online Meetings Must Also Be Able To Be Noted. Within The Rivm, Around 200 Meetings Take Place Every Year That Must Be Noted. A Meeting Takes An Average Of ± 2 Hours.
